| Email Etiquette |
 |
|
When's the last time you received a letter? Can't remember?
You can blame this in part on email. Email has become one of
the most common modern forms of communication. Business
emails, personal email (and spam, of course) make up the over
31 billion emails that are sent every day. With email being
such a powerful medium, some unofficial protocols have been
developed.
- DON'T TYPE IN ALL CAPS. - Messages written in all
capital letters are difficult to read, and are often viewed
as hostile or "shouting." Make sure that Caps Lock is off
before composing an email. Avoid Forwards or Chain
Letters. - How often do you check your email and find that
your coworkers and friends have flooded your inbox with
forwarded jokes, virus warnings and links? Think twice about
forwarding these emails. Not only do they contribute to
Inbox clutter, many of the seemingly benign applications
that get forwarded around the internet are actually viruses.
Conversely, many of the "virus warnings," chain letters, and
anecdotes you get in your email are hoaxes or urban legends.
How to tell the difference between truth and lies? You can
search the urban legend/hoax database at
http://www.snopes.com to test the veracity of the forwards
you get.
- Reply Quickly - Email is fast. With the click of a
mouse, your message is instantly sent across the world.
Since email is such a blazingly fast technology, most people
expect fast responses. Try to avoid taking more than a day
to reply to an email.
- Spell Check - No one is perfect. Even the most careful
writers sometimes will mistype a letter. Don't let these
minor misspellings ruin the image you're trying to portray
with your email. Especially in business communications,
misspellings and typos give an air of amateurism.
- To and CC - There are three fields at the top of most
email clients: To, CC, and BCC. While many people tend to
put all recipients in the 'To' field, etiquette dictates
that the 'To' field is reserved for the primary recipients
of the email, while the 'CC' (or 'carbon copy') field is
used for anyone else who should receive the email. This lets
recipients of an email know who should take primary action
on a message.
